How we compared
A comparison is only as good as its method. Ours:
- Our side is documented from the production platform itself — the feature list below maps to named, versioned modules actually installed and running, not to a marketing sheet.
- Artlogic's side is described from their own public materials and general product knowledge, as of October 2026. Their product evolves; check their site for current details.
- We deliberately include rows where Artlogic is stronger, and a section on when choosing them is the right call.
- No invented customer counts, no fabricated reviews, no cherry-picked pricing numbers. If you spot an inaccuracy, write to [email protected] and we will correct it.
Where each platform comes from
Art Gallery CRM by MongeLab
- Built by MongeLab, a French software company, on the open-source Odoo 15 core with dedicated art-industry modules, a custom React frontend, PostgreSQL and Redis.
- Three years of development, refined in daily production use with leading international galleries.
- Private EU hosting, GDPR-compliant, with full audit trail and 2FA.
Artlogic
- UK-based platform serving galleries, artists and art advisors for over a decade.
- Known for its integrated website builder, e-commerce and artist sites, plus PrivateViews for sharing works with collectors.
- Fully managed SaaS: they host, maintain and ship updates on a proprietary stack.
Side-by-side comparison
| Criterion | Art Gallery CRM (MongeLab) | Artlogic | Edge |
|---|---|---|---|
| Art-specific data model | Dedicated records for artists, artworks, gallery directors, price history per deal, opportunity timelines and notes — the model was written for gallery workflows, then hardened in production. artgallery_custom_fields |
Artwork, contact and sales records designed for galleries, structured by the vendor. | Ours |
| Provenance & certificates | Certificate and document records attached to artworks, plus a full audit trail: every create, edit and delete on sensitive records is logged with user and timestamp. auditlog |
Provenance fields and document storage on artwork records. | Comparable — we add the audit trail |
| Proposals & PDFs | Multi-artwork proposals assembled from the catalogue, branded PDFs generated server-side, client-facing offer pages on a portal, and proposal email logs. art_proposal artwork_proposal_pdf custom_mail_templates |
PrivateViews app and shareable sheets; document templates within the platform's layout options. | Ours — deeper workflow |
| Multi-location & stock | Real multi-warehouse inventory, inter-company transfer flows, multi-company and multi-currency built in — galleries running several spaces work from one system. | Location tracking on artworks; inventory features depend on plan tier. | Ours |
| Open API | A secured REST API (2FA-protected) built to power our own React frontend — the same API is available to you — plus standard Odoo XML-RPC/JSON-RPC endpoints and integration connectors. custom_api_2FA |
API access and exports offered on higher tiers; capabilities defined by the vendor. | Ours |
| Source code & data ownership | Open-source Odoo 15 base, custom modules you can inspect, your data in standard PostgreSQL, scheduled automated backups (daily, off-site), full dumps on request. No proprietary format, no lock-in. | Proprietary SaaS. Data exports are available; source code is not. | Ours |
| Pricing model | Quote based on your number of locations and users. No per-seat metering that scales unpredictably as the team grows. | Published subscription tiers; cost grows with plan level, user seats, storage and feature unlocks (e-commerce sits on higher plans). | Depends on your size |
| Hosting & control | Private EU hosting, GDPR-compliant, European data residency, 2FA and granular roles. You can audit where everything lives. base_user_role |
Fully managed hosting with GDPR compliance — zero maintenance for you. | Ours for control, theirs for simplicity |
| Customisation depth | Full-stack: backend modules and a dedicated React frontend are ours to change. Pipeline stages, screens, documents and inter-company flows are shaped to how your gallery works. | Strong within its templates and configuration options; deeper changes depend on the vendor's roadmap. | Ours |
| Reporting & dashboards | Configurable dashboards, XLSX reporting, custom sales and inventory reports, per-user dashboard views. ks_dashboard_ninja |
Built-in sales, inventory and website analytics reports. | Ours |
| Websites & e-commerce | Not included — we deliberately focus on internal gallery operations and integrate with your existing site. (MongeLab builds e-commerce on PrestaShop and Shopware when needed.) | A genuine strength: integrated website builder, e-commerce and artist sites in the same platform. | Artlogic |
| Vendor relationship | Small, dedicated team; you talk directly to the people who develop the product. | Established vendor with a large customer base and mature processes — breadth you don't get with a boutique. | Different philosophies |
Where our claims come from
Every capability above maps to a module installed and running on the production platform (versions as of October 2026):
- artgallery_custom_fields — the art data model: artists, artworks, directors, price history, opportunity timelines, gallery security roles
- art_list — curated artwork lists for exhibitions, fairs and clients, with sharing and reminders
- art_proposal — multi-artwork proposals sent to clients from the catalogue
- artwork_proposal_pdf — branded proposal PDF generation, server-side
- custom_mail_templates — branded offer documents and client-facing portal offer pages
- artgallery_debranding — gallery sales pipeline stages and stock/invoicing views
- custom_api_2FA — secured REST API powering the React frontend
- auditlog — full audit trail: user activity, requests, deletions
- base_user_role + base_user_role_profile — granular roles and permission profiles
- ks_dashboard_ninja — analytics dashboards
- image_processing — high-resolution artwork image handling
One honest note on scale: we don't publish client volumes or revenue figures — those belong to our clients. What we can say is what the platform is: purpose-built for galleries managing catalogues across multiple locations, in daily production for three years.
Artlogic, fairly stated
To be clear about their strengths: Artlogic is an established UK vendor with over a decade in the art market. Their integrated website builder with e-commerce is excellent for galleries and artists who want their public presence and inventory in one place. PrivateViews is a genuinely useful way to share works with collectors. Their templates are polished, their hosting is managed, and for many small organisations that combination is exactly right.
The trade-offs are structural, not faults: it is a proprietary platform, so the source code, the data schema and the hosting stack are theirs, not yours. Pricing scales per plan, seat and storage. And customisation beyond their templates and options depends on their roadmap — as it must for any vendor running one codebase for thousands of customers.
When Artlogic is the better choice
- Solo artists and very small galleries who want a beautiful website, e-commerce and a simple inventory in one package, without engaging a software vendor.
- Teams that want zero technical surface: fully managed SaaS, standard templates, standard workflows.
- Public-facing first: if your priority is the website and online sales rather than internal operations depth, their integrated site builder is the stronger tool.
When Art Gallery CRM wins
- Multi-location galleries: real multi-warehouse stock, inter-company transfers, multi-currency — several spaces operating from one system.
- Serious catalogue operations: art-specific records, price history, curated lists for fairs and exhibitions, branded proposals generated in minutes.
- API and customisation needs: a secured REST API, an open-source base and a team that builds your workflow instead of asking you to fit theirs.
- Data ownership: standard PostgreSQL, documented schema, scheduled backups, full exportability — no proprietary format, no lock-in, EU hosting you can audit.
- Predictable team economics: pricing per locations and users agreed upfront, not metered per seat as you grow.
FAQ
- Can we migrate from Artlogic to Art Gallery CRM?
- Yes. Artlogic exports your catalogue, contacts and sales history in structured form; we import and validate that data with your team during onboarding. Effort depends on how cleanly the data is structured — we scope it after reviewing a sample export.
- Who owns our data, and can we export it?
- You do. Standard PostgreSQL, documented schema, scheduled backups, full dumps on request, GDPR-compliant EU hosting. No proprietary format, no lock-in.
- How is pricing structured compared to Artlogic?
- Artlogic uses published subscription tiers that grow with plan, seats, storage and features. We quote based on your number of locations and users. For multi-location or larger teams, a flat structure is usually more predictable — compare on your real numbers.
- Can the CRM be customised to our workflow?
- Yes — that is how the product exists at all. Open-source Odoo 15 base, dedicated custom modules and a React frontend connected by a secured API. Pipeline stages, documents, roles and reports are development work we do with you.
